Data Deletion Instructions
FlexyCare is a healthcare practice management platform used by clinics, providers, and their clients. This page explains how to request deletion of personal data that FlexyCare stores or processes, including data exchanged through our WhatsApp integration.

What data we hold
Depending on your role, FlexyCare may store:
- Account data — name, email address, phone number, profile picture, language preference, and authentication credentials.
- Clinical and appointment data — appointment history, clinical notes, attached files, and comments. This data is owned and controlled by the healthcare organization (clinic or practice) you belong to or are a client of.
- WhatsApp message data — phone numbers (in E.164 format) and the content and metadata of messages sent or received through our WhatsApp Business integration, used to deliver appointment reminders, confirmations, and related communications.
- Operational data — audit logs, email delivery logs, and security records retained for compliance.
How to request deletion
How you request deletion depends on who you are.
If you are a client (patient) of a clinic that uses FlexyCare:
Contact the clinic directly. They are the data controller for your appointment records and clinical information and can delete or anonymize your data in their FlexyCare account. If you cannot reach the clinic, you may also email us at privacy@flexycare.co and we will help facilitate the request.
If you are a staff member or provider at an organization on FlexyCare:
Ask your organization's owner or admin to remove your user account from the team. They can do this from the team management section of the platform. To delete your personal user account entirely (including across all organizations you belong to), email privacy@flexycare.co from the email address on your account.
If you are an organization owner:
You can close your organization's account, which will trigger deletion of all data associated with it after a 30-day retention period, by emailing privacy@flexycare.co from the email address on file. Please include your organization name and the reason for closure (the latter is optional but helps us improve).
If you only interacted with FlexyCare through WhatsApp:
If you received messages from FlexyCare through WhatsApp on behalf of a clinic and want your phone number and message history removed from our systems, email privacy@flexycare.co with the phone number in question. We will remove it within 30 days. You may also reply STOP to any WhatsApp message to opt out of further communication; opting out stops messages but does not by itself delete historical records.
Timeframe
We process deletion requests within 30 days of verifying the request. Some data may be retained longer where required by law (for example, billing records under tax law, or audit logs required by health data regulations); in those cases we will tell you what is being retained and why.
